The Immigration Services Agency’s online residence application system allows certain residence procedures to be filed online. It can reduce visits to an immigration office, but there are points specific to online applications that require attention.

1. The applicant should generally be in Japan when applying

Even online, an extension or change of status concerns a person residing in Japan. Pay attention to the applicant’s location and residence status at the time of filing.

2. Special period after timely filing

If a lawful extension or change application is filed before the current period expires and no decision is made by the expiration date, the applicant may, under prescribed conditions, remain in Japan under the existing status for a limited special period. Keep evidence confirming that the online application was accepted.

3. Acceptance is not the end of examination

An application being accepted online does not mean examination is complete. Requests for additional documents or other communications may follow, so continue checking email and system notifications.

4. Traveling abroad while the application is pending

Temporary departure may be possible if the requirements for a re-entry permit or special re-entry permission are met. However, the relationship with the period of stay and special period, as well as how the new residence card will be received after approval, should be checked in advance.

5. Receiving the new residence card after approval

For online applications, instructions are provided on how to receive the new residence card or other documents. Check the collection deadline and required documents and follow the specified method.

Online filing is convenient, but the applicant should manage the process as a whole—from residence status at filing through the special period, additional-document requests, travel plans and receipt after approval.
